Privacy policy
What we collect, why we need it and the choices you have. Explained in plain language.
About this policy
Caljn is operated by Mira Elite Limited, New Zealand.
Who this policy covers
This policy explains how we handle personal information when you visit Caljn, create an account, make a booking, contact us or use our business tools and mobile apps. It applies to customers, business owners and staff.
Caljn and the business you book with
Caljn provides the platform. The business you book with provides your appointment or service. We manage information needed to operate Caljn, and we also store and process customer records on behalf of businesses. Each business is responsible for how it collects and uses information for its own services. Its privacy policy may also apply.
Information we collect
We collect information needed to provide and improve Caljn.
Account and contact details
We collect details you provide, such as your name, email address, phone number, profile photo and account information. Business accounts may also include business contact details, locations, staff profiles, services and working hours.
Bookings and customer records
We collect booking details, including the service, staff member, appointment time, price, booking status and messages or notes. Businesses may enter customer contact details, appointment history, preferences, tags and attendance records.
Messages and support
We collect messages, images and other information you send through Caljn or share with our support team. Messages sent to a business can be accessed by that business and its authorised staff.
Payment records
Booking records may include the amount, payment method and payment status. If you use an online payment service connected to Caljn, that provider handles payment information under its own privacy policy.
Technical information
We collect technical information such as IP addresses, device and browser details, access logs and activity within Caljn. Mobile apps may also collect a notification token so we can deliver notifications to your device.
Information from other sources
A business may add your details when you book by phone, visit in person or become its customer. We may also receive information from services you choose to connect. Where required, we or the business will explain this collection to you.
What you choose to share
You can choose not to provide information, but we may be unable to create your account, complete a booking or provide a feature without the necessary details. Please share only information relevant to your booking or request, especially when it is sensitive.
How we use information
We use information for clear purposes connected with Caljn.
Provide the service
We use information to create and manage accounts, arrange appointments, maintain customer records, support communication and send booking confirmations, changes, reminders and account notifications.
Help businesses manage their work
We process booking and customer information to help businesses manage calendars, staff availability, customer relationships and business reports. Access depends on the account and permissions provided to staff.
Improve Caljn
We use service activity, technical information and feedback to understand how Caljn is used, fix problems, measure performance and develop useful features. Where practical, we use information that does not identify individuals.
Research and statistics
We may create anonymous, combined statistics, such as booking trends and feature usage, for research, product planning and business insights. We may publish or share these statistics only when they do not reasonably identify a person or reveal a business's identifiable customer records.
Security and legal responsibilities
We use relevant information to protect accounts, investigate suspicious activity, prevent misuse, resolve disputes and meet legal obligations. Authorised team members may access records when necessary for support, security or these responsibilities.
New uses of personal information
We will not treat this policy as permission to use identifiable customer records for any purpose we choose. If we want to use personal information for a different purpose, we will obtain permission or establish another basis allowed by law.
Messages and marketing
Booking updates and promotional messages serve different purposes.
Booking and account messages
We and the business you book with may send messages needed to manage your booking or account. These can include confirmations, reminders, cancellations, security alerts and important service updates.
Promotional messages
Caljn may send promotional messages where you have consented or the law otherwise permits. You can unsubscribe using the instructions in the message or contact us. Unsubscribing from marketing does not stop necessary booking or security messages.
Marketing from a business
A business using Caljn is responsible for obtaining any permission needed to send you its own promotional messages and for respecting your choices. Contact that business to change its marketing preferences.
Who we share information with
We share relevant information when needed to provide Caljn or meet legal responsibilities.
The business you interact with
When you make a booking or contact a business through Caljn, we share the details needed to handle your request. These may include your name, contact details, selected services, appointment details and message. Other businesses do not receive your private booking records simply because they use Caljn.
Service providers
We use providers to support hosting, data storage, email, notifications and other platform functions. They receive information needed for their role. We remain responsible for taking reasonable steps to protect information processed on our behalf.
Legal requests and business changes
We may disclose information where required or permitted by law, including to address fraud or serious safety risks. If Caljn is sold, merged or reorganised, relevant information may be shared with advisers or a new owner, subject to appropriate confidentiality and privacy safeguards.
Selling personal information
We do not sell your personal information or businesses' identifiable customer lists.
Storage, security and retention
We take reasonable steps to protect information throughout its use.
Where information is processed
Caljn uses cloud infrastructure, including Amazon Web Services. Information may be stored or processed outside New Zealand by our infrastructure and service providers. We take reasonable steps to protect it and meet applicable requirements for overseas disclosures.
Keeping information secure
We use reasonable technical and organisational safeguards to reduce the risk of loss, misuse and unauthorised access. No online service is completely secure. Keep your login details private and contact us promptly if you suspect unauthorised access.
How long we keep information
We keep personal information only for as long as needed for the purposes described here or to meet legal obligations. Retention depends on the record and our role. Closing an account does not necessarily remove records a business must retain. Backup copies may remain until they are replaced through our backup cycle.
Privacy incidents
If a privacy breach causes or is likely to cause serious harm, we will notify the relevant authority and affected people as required by law.
Cookies and device settings
Some information is stored on your browser or device to make Caljn work.
Cookies and local storage
We use cookies or similar storage to support sign-in, remember preferences and operate Caljn. You can manage browser storage through your browser settings, but blocking it may affect features or prevent you from staying signed in.
Mobile permissions
Depending on the feature you use, the app may ask for permission to send notifications or access photos or the camera. You can change permissions in your device settings. Disabling a permission may prevent the related feature from working.
Your choices and rights
You can ask about your information and raise concerns with us.
Access and correction
You can ask for access to personal information we hold about you and ask us to correct information that is wrong, incomplete or misleading. We may need to verify your identity. We generally respond to access and correction requests within 20 working days, subject to lawful extensions or exceptions.
Account closure and deletion requests
Contact us to request account closure or deletion of personal information. We will explain what we can remove and what must be retained. Deletion is not always possible where information is needed for legal obligations, disputes or a business's legitimate record-keeping responsibilities.
Records held for a business
For records managed by a business you booked with, contact that business first. If you contact Caljn, we can help identify the appropriate contact or assist the business with your request.
Privacy concerns
Contact our Privacy Officer using the contact details below. Please explain your concern so we can investigate and respond. You can also complain to the New Zealand Privacy Commissioner or another privacy authority where applicable.
Updates to this policy
We will keep this page current as Caljn develops.
When something changes
We may update this policy when our services or legal requirements change. The latest version will appear here with a revised date. We will take reasonable steps to highlight significant changes and obtain consent where required. An update does not remove your privacy rights.
